One organiser, clear arrangements
It can help to nominate a contact for the group. Ask how rooms will be held, when guest details are needed and how payment will be handled. Confirm deadlines, cancellation terms and what happens if the guest count changes before agreeing to the booking.
Coordinate arrival and breakfast
Tell the hotel your expected arrival time and whether people will arrive together or separately. Breakfast is included with hotel stays; discuss early departures, allergies or dietary requests in advance. Any special arrangements need confirmation from the hotel.
Keep transport and activities clear
